The record tells B2B Pro how a relationship is going. Only your system of record can say who the relationship is with, what stage it is in, and when it renews. Guessing "client or prospect" from mail patterns would violate cited or silent, so B2B Pro does not guess: account status, stage, owner, and renewal date are read from your CRM, connected read-only at setup. Additional install may be required depending on your system of record for prospects and clients. HubSpot, Salesforce, and Dynamics connect as standard; anything else is scoped at setup. No CRM, or a CRM nobody maintains? Then B2B Pro is not ready for you yet, and we will say so.
External domains with real thread volume that match nothing in your CRM land in an Unmapped bucket you can see: "14 domains, 212 threads, unmapped." Map them or they stay out of every report. Nothing guesses its way into your client list, and your CRM hygiene becomes visible instead of assumed.
